Procurement and Finance Assistant

Summary of role

The position will perform a vital role within the team at Lewis Knox. Assisting the F.F.E team with the coordination of all procurement, logistics and installations for high end residential projects. Supporting the finance manager with production of F.F.E sales invoices and data inputting of purchase invoices.

Key responsibilities

  • Assisting the design team with the initial estimate production by checking price and stock quantities with clients, uploading detail into project files and estimate producing software.
  • Ordering and processing confirmed estimates, updating purchase order spreadsheets, delivery schedules and project records as necessary
  • Checking progress of any multi-supplier orders to all elements are delivered to the manufacturer in timely manner
  • Update any client budgeting and project management reports
  • Record any proforma invoices and deposits and forward to accounts as necessary
  • Drafting final invoices for accounts department on delivery of goods,
  • Coordinating all goods received to site, consolidation warehouse or into studio and upon receipt of goods, quality checks to be carried out
  • Regularly reporting to F.F.E Team on procurement when required, dealing with any issues or concerns relating to goods received in, to ensure replacements and resolutions are resolved independently.

Essential experience and skills

  • Minimum 2 years experience in similar role
  • Proficient in MS office or equivalent
  • Must have experience in operating a variety of standard office machines including a personal computer, photocopier, telephone, laminator and shredder
  • Excellent verbal and written communication skills; ability to capture information and communicate to others.
  • Highly organised and be able to manage multiple demands.
  • Excellent time management skills; ability to prioritise works and be able to work alone
  • Experience in Sage would be highly advantageous to this role
  • Basic understanding of budgets, project timelines and architectural drawings would be highlyadvantageous to this role
  • An understanding of Estimac would be highly advantageous to this role

The package

HOURS
Monday to Friday 9.00 – 5.00 with a 30 minute lunch break.

HOLIDAYS
20 days basic, plus statutory bank holidays being a minimum of 28 days per annum
Holiday year runs from 1st January to 31st December
Christmas shutdown of minimum 3 days ending on Christmas Eve and recommencing on the first working day after New Year. This is an addition to your basic 20 days holiday.

REMUNERATION
To be agreed based on experience and qualifications
Pension – Employers contribution 3%
